Immediate concern reporting

Any safeguarding concern is immediately reported to the school's designated safeguarding lead and relevant authorities.

Makeful believes that every young person deserves to learn in a safe, supportive, and joyful environment. The safety and wellbeing of students in our programs is our highest priority — above program logistics, above schedules, above everything else.

We recognise that we have a duty of care to the young people who participate in our programs, and that this duty extends to the digital spaces in which we operate as well as the physical. We take this responsibility seriously and hold all adults involved in Makeful programs — our own instructors, trained school staff, and school guardians — to a high standard of conduct.

This statement applies to all Makeful program formats: Teacher Professional Development, Summer Camp programs, Full-Year Enrichment programs, and any future program offerings involving students under 18.

Summer Camp & Short-Term Programs

Makeful does not send instructors to schools. For Summer Camp and short-term programs, Makeful trains the school's own designated staff to deliver the program on-site. This means that all in-person contact with students is managed by the school's own staff, operating under the school's own safeguarding policies and procedures.

Makeful's role in these programs is to train, support, and supply — not to be physically present with students.

Full-Year Enrichment Program

The Full-Year Enrichment Program is delivered online by Makeful-qualified instructors. Students attend live sessions via video call from their school premises. A school-designated guardian — a member of school staff with appropriate safeguarding clearance — must be present in the video call for the full duration of every session.

Makeful instructors facilitate learning; the school guardian is responsible for in-person supervision of students throughout.

Key principle: In all Makeful programs, in-person supervision of students is always the responsibility of the school and its staff. Makeful instructors never have unsupervised physical or one-to-one digital access to minor students.

Makeful operates a zero-tolerance policy on unsupervised communication between our instructors and minor students. The following rules apply without exception, in all circumstances.

Live Online Sessions

All live video sessions are conducted with the school guardian present in the call for the full duration. Makeful instructors will not begin or continue a session if no school guardian is present. If a guardian leaves a session mid-way, the instructor will pause until they return or, if the guardian cannot return, end the session and reschedule.

Email Communication

Any email from a Makeful instructor to a student must always have the school guardian in copy (CC). Instructors will never send an email to a minor student without a school guardian copied. Where a student emails a Makeful instructor directly, the instructor will reply-all to include the guardian, or will not reply until the guardian has been added.

Platform Forum (Esmerise)

Written communication between instructors and students takes place in the Esmerise platform's student forum, which is fully public and visible to all enrolled participants and the school guardian. There are no private or direct messages between instructors and individual students on the platform.

No Private Channels — Ever

Makeful instructors will never contact students via personal social media accounts, WhatsApp, Instagram, personal email, SMS, or any channel outside the three approved routes above. Any student or parent who receives a private communication from someone claiming to be a Makeful instructor should report it to their school and to Makeful immediately.

Schools are responsible for ensuring their designated guardian is present for every scheduled online session. If a guardian cannot attend, the school must notify Makeful at least 24 hours in advance. Makeful will reschedule the session. Sessions will not proceed without guardian supervision.

All Makeful instructors who work with minor students in online programs are required to meet the following standards before working with students:

  • Completion of safeguarding training appropriate to working with young people in an online environment, including recognition of signs of abuse or distress and understanding of reporting obligations.
  • Familiarity with and commitment to Makeful's communication rules — including the supervised-channels-only policy — before beginning any student-facing work.
  • Understanding that any concern about a student's safety or welfare must be reported immediately to Makeful's designated safeguarding contact and to the school's designated safeguarding lead.
  • Agreement to Makeful's Code of Conduct, which sets out expected professional behaviour in all interactions with students, parents, and school staff.

For teachers trained by Makeful to deliver Summer Camp or short-term programs, their school's own safeguarding requirements and clearances apply, in addition to the training Makeful provides on program delivery.

When a school partners with Makeful, it takes on the following safeguarding responsibilities:

  • Designate a named guardian — a staff member with current DBS clearance (or local equivalent) — for all Full-Year Enrichment sessions. This guardian must be present for every session.
  • For Summer Camp and short-term programs, ensure all staff trained by Makeful hold appropriate safeguarding clearances required by the school's own policies and local law.
  • Follow the school's own safeguarding and child protection policies throughout all Makeful program activity.
  • Inform Makeful prior to the program of any relevant safeguarding considerations or individual student needs that Makeful should be aware of.
  • Ensure students access the Esmerise platform and video sessions in a supervised, school-managed environment — not from personal devices at home unsupervised.
  • Act as the first point of contact for students or parents who have concerns about any aspect of the Makeful program, and escalate to Makeful and relevant authorities as appropriate.

If a concern arises during a session

If a Makeful instructor has a concern about a student's safety or welfare during a session, they will immediately inform the school guardian present in the session. The school guardian will follow the school's own safeguarding procedures from that point.

Where a concern is serious and immediate, and a school guardian is not available, Makeful will contact the school's designated safeguarding lead directly.

If you have a concern about a Makeful instructor

If a school, parent, or student has a concern about the conduct of a Makeful instructor, contact Makeful's designated safeguarding contact immediately:

All concerns will be taken seriously, investigated promptly, and handled in confidence. Makeful will cooperate fully with any investigation by the school, local authority, or statutory agency.

Escalation

Where a concern involves a risk of immediate harm to a child, always contact the relevant emergency services or local child protection authority first. Do not wait to contact Makeful — student safety comes first.

Makeful's Designated Safeguarding Contact is Linette Manuel. She can be reached directly at info@makeful.com or +420 735 820 576. In cases of serious or immediate concern, please also contact your school's designated safeguarding lead and, where necessary, your local authority's children's services.

Makeful collects minimal student data — first name, age group, and email address for program access. For full-year programs, we also collect a home address for administrative purposes. Student email addresses are used only for enrollment and online class access. We never send students marketing or promotional communications.

All student data is handled in accordance with our full Privacy Policy. Schools that enroll students are responsible for obtaining appropriate parental or guardian consent for data processing before enrollment.

Safeguarding records — including any concerns raised or actions taken — are kept securely and separately from general program data, accessible only to Makeful's designated safeguarding contact and, where legally required, to relevant authorities.

This Safeguarding & Child Protection Statement is reviewed by Makeful annually, and updated immediately whenever our practices, program formats, or relevant legislation changes. The current version is always the one published on this page.

Last reviewed: January 2025.

Schools are welcome to use this statement in their own safeguarding records, procurement processes, or governance documentation. If you require a signed, dated version on Makeful letterhead, please contact us at info@makeful.com.
